Inviting students and staff

There are three ways in: the join link, an invite link per person, and a class list imported as CSV. All three are the owner's and admins' — teachers cannot invite. Nothing works until the institution has paid; see Seats and billing.

Bandzen does not send any emails

Every link below is one you copy and hand out yourself — by email, your learning platform, a message to the class. Nobody is emailed by Bandzen.

The Students page shows one link for the whole institution. Share it with a class: anyone who opens it, signs up or in, and joins takes a free seat in the student app. It is the quickest way to fill a room, and the least controlled — anyone with the link can use it while seats are free.

If it leaks, choose New link. The old one stops working at once, and students already in keep their seats.

On the Invites page, paste one or more emails — separated by commas, spaces or new lines — pick a role and choose Create invite links. You get one link per email, and each link:

  • works for that email only — someone signed in as anyone else is told which address the invite is for;
  • works once, and expires after 14 days;
  • is shown once. Copy them or Download as CSV before you leave the page — they cannot be shown again.

Up to 200 emails at a time. Anyone already in the institution or already invited is skipped and counted, not invited twice.

Student links open the student app; staff links open Coach. You can invite as student or teacher, and the owner can also invite an admin.

An invite does not hold a seat. It takes one only when it is accepted, if one is free then. Invites still waiting are listed under Waiting to be accepted, with the date each expires, and any of them can be revoked.

Importing a class list

For a whole class at once, import a CSV. The first line is a header, then one student per line:

name,email,student_id
Asha Rao,asha@example.com,S1042

Only email is required, and columns can be in any order. Up to 1000 students per file. A class list only ever invites students.

The whole file is checked before anyone is invited. One bad row — an address that is not an email, or the same email twice — and nothing is invited; you get a list of every problem, by line. The file is also refused if it would invite more new students than you have free seats, so add seats or split it first. Students already in or already invited are skipped.

Fields cannot contain commas, even in quotes. Export the list without them.

What comes back is the same as for pasted emails: one invite link per student, shown once, downloadable as CSV.

What students are told

Before joining, a student is shown what your institution will see of them: their email, when they last practised, and their work and scores on assignments you set. Not their Coach chats, their billing, or any other practice. See Reports.
