Seats and billing

Billing is the owner's job. Admins and teachers do not see the Billing page.

What a seat is

A seat is one student's place in the institution. Each student holding one gets everything in Bandzen Pro for as long as the institution keeps paying. Staff — the owner, admins and teachers — never take a seat.

Each seat is a flat per-seat monthly price, the same for the first seat as the last. Prices change, so they are not written here — checkout shows the price before you pay.

The Students and Billing pages both show how full you are at a glance: one square per seat, filled when a student holds it.

Changing seats, the card or cancelling

The Billing page shows the seats in use, the seats paid for, and the date the plan renews. Change seats or card opens the billing portal run by Polar, our payment provider. Adding seats, removing seats, the card, invoices and cancelling all happen there, and changes are prorated.

You cannot go below the seats in use. To buy fewer seats, remove students first, then lower the count.

A plan arranged with Bandzen directly has no portal button; contact support to change it.

When the institution is full

A student opening the join link or an invite when every seat is taken is told "Every seat is taken. Ask your institution to add more." and does not join. Add seats in the portal and they can try again. An invite does not hold a seat while it waits — seats go to whoever accepts first.

When the plan lapses

If the plan ends — cancelled, or a renewal that did not go through — then:

• Students keep their accounts and everything they have done.
• They lose the Pro your institution paid for, and drop to Free unless they have Pro of their own.
• Nobody new can join, by link or by invite.

To renew, the owner chooses Renew on the Students or Billing page and goes through checkout again. Because everyone is still there, you must buy at least a seat for every student you have — or 5, whichever is more.
